Privacy Policy
Last updated: [date]. This policy explains what information BillSil handles, why, and what choices you have. It applies to our website, our demo requests and the BillSil service.
Who we are
BillSil is a product of Depth Nepal (depthnepal.com), a company registered in Nepal under registration number 363526/81/82, with its office at Suryabinayak-5, Bhaktapur, Nepal. In this policy, “BillSil”, “we” and “us” mean Depth Nepal. You can reach us by emailing us or by writing to that address.
We handle personal information in line with Nepal’s Privacy Act, 2075 (2018), the Electronic Transactions Act, 2063 (2008) and other Nepali law that applies to us.
Two roles: our own data, and your business’s data
It helps to separate two kinds of information.
- Information about you as our customer or prospect: your details when you request a demo, open an account or pay us. Here BillSil decides why and how the information is used.
- Information your business puts into BillSil: sales, orders, stock, staff and your own customers’ details, including Udharo (credit) records. Here your business decides what to record and why, and BillSil handles it only to provide the service to you, on your instructions.
If you are a customer of a business that uses BillSil, and you want to see or correct what that business holds about you, please ask that business first. We will help them respond.
Information we collect
- Demo requests and enquiries: name, business name, type of business, number of branches, phone or WhatsApp number, email address, and anything you write to us.
- Account and subscription details: business details, the names and contact details of staff users, chosen plan, and billing and payment records (amounts, dates, references).
- Business records you enter: sales and orders, inventory, staff, branches, and customer information such as names, phone numbers or email addresses used to send receipts.
- Credit (Udharo) records: which customer owes what, due dates, and reminders sent.
- Technical information: device and browser type, IP address, log-in and activity logs, used to run and secure the service.
- Support messages: what you send us when you ask for help.
We do not ask for information we do not need. Please do not put sensitive personal information (for example health details or citizenship numbers) into free-text fields unless your business genuinely needs to.
How we use information
- To provide, secure and support the BillSil service, including the analytics you see.
- To send receipts and Udharo reminders through WhatsApp or email, when your business chooses to send them.
- To respond to demo requests and enquiries.
- To bill you, keep financial records and meet tax and accounting duties.
- To fix problems, prevent misuse and improve the service.
- To contact you about your account, changes to the service or these documents.
We do not sell personal information. We do not use your business records to advertise to you or anyone else.
Receipts, reminders and messaging
When your business sends a receipt or reminder, BillSil uses the customer’s phone number or email address that your business entered, only to deliver that message. The messages go through third-party channels such as WhatsApp and email providers, which have their own terms and privacy practices.
Your business is responsible for having a proper reason and, where needed, the customer’s agreement to contact them this way.
Who we share information with
- Service providers that help us run BillSil, such as hosting, messaging (WhatsApp, email), payment and support tools. They may use the information only to provide their service to us.
- Authorities, when a Nepali law, court order or lawful request requires it. We will limit what we share to what is required.
- A successor, if BillSil is merged with or sold to another company, so the service can continue. We would tell you first, and this policy would keep applying.
Within your business, what other people can see depends on the permissions you give your staff users. Setting those permissions is your responsibility.
Payments
Subscription payments are collected through [payment methods, for example bank transfer, connected wallet or card gateway]. We keep a record of each payment (amount, date, reference and payer name) for accounting and tax purposes. [Confirm: BillSil does / does not store card or wallet credentials; payment providers handle them.]
Amounts your business takes from its own customers are recorded in BillSil as sales records. BillSil does not hold those funds.
Where information is stored
BillSil information is hosted on servers located in Nepal.
If we ever need to host or process information outside Nepal, for example because a service we depend on is not available here, we will move only what is needed, make sure it is protected to a comparable standard and handled as this policy describes, and update this policy and tell account holders before the change.
Messages sent through WhatsApp or other messaging services pass through those providers’ own systems, which may be outside Nepal. That is how those services work, and it applies only to the receipts and reminders your business chooses to send.
How long we keep information
- While your account is active, we keep your business records so the service works and your analytics stay complete.
- After an account is closed, we keep business records for [number, for example 90] days so you can export them, then delete or anonymise them.
- We keep billing and tax records for as long as Nepali law requires, currently [period confirmed by accountant or lawyer].
- Demo requests that do not become customers are deleted after [number, for example 12] months.
Security
We use reasonable technical and organisational measures to protect information, such as access controls, encrypted connections and activity logs. [Engineering to confirm the exact measures before publishing, for example encryption at rest and backup practice.] No system is perfectly secure. If we learn of a breach that affects your information, we will tell you without undue delay and explain what happened and what to do.
You help by keeping passwords private, removing staff users who have left and giving people only the access they need.
Your rights
Under Nepali law you can ask to see personal information we hold about you, ask us to correct it, and raise a complaint. To make a request, email us or write to our office address above. We may need to confirm who you are first, and we will reply within [number, for example 30] days.
If you are not satisfied with our answer, you can complain to the relevant authority in Nepal.
Children
BillSil is for businesses and is not aimed at anyone under 18. We do not knowingly collect information from children. If you think we have, contact us and we will delete it.
Cookies and tracking on this website
This website does not set cookies and does not load third-party analytics or advertising scripts. If that changes, we will update this policy and, where needed, ask for your consent first.
Changes to this policy
We may update this policy. We will post the new version here with a new date, and tell account holders by email if a change is significant. Continuing to use BillSil after the effective date means you accept the update.
